Thank you for visiting our website and for your interest in Frankfurt Zoological Society (FZS) as your future employer. The protection of personal data of applicants, employees and all third parties connected with us is particularly important to us.

On this page you will find specific information from FZS on the protection of applicant data submitted to us in the course of applications and an explanation how personal data is handled during the application and recruitment process. You will find the FZS privacy policy declaration on our website under the following link.

 

For a better overview, this explanation is divided into three parts: Part A contains general and individual information about your application until we receive it. Information on applicant data protection during the selection procedure can be found in Part B. Part C explains the post-staffing processes as well as information about your rights as an applicant.

Part A - General and individual information up to receipt of your application

2. What is the purpose of the collection of personal data?

Personal data is required to process your application. Data that you send us in the course of your application will only be processed for the purpose of applicant selection. Only data that you have transmitted to us will be used. In addition to information in electronic and written form, this may also include information that you have provided to us personally and by telephone.

 

We would also be happy to consider your application for other positions in our organisation or sister organisations. In this case we would contact you and invite you to apply for such a position. You then decide exclusively whether you would like to apply for the vacancy or not, or whether you give us written permission to take your information into account when filling the vacancy.

Even with unsolicited applications, we will inform you in advance whether a position is available that fits your profile.

 

3. What personal data is collected?

Personal data is collected which you submit to us in the course of the application process and which are relevant to the filling of the vacancy. This includes, for example, your first and last name, address, contact details, including the e-mail address, the position for which you are applying and details that you have submitted to us for your personal application. For example, we may need additional information about your professional background or knowledge and skills to carefully assess your application.

 

If your request is an unsolicited application, we may also ask you about your preferences and interests in order to be better able to search for suitable positions within our company.

 

4. On what legal basis and how do we collect your personal data as part of an application?

We collect your personal data for the purpose of conducting the application procedure, in particular on the legal basis of Art. 6 Para. 1 b), Art. 88 of the General Data Protection Regulation (GDPR) in conjunction with. 26 para. 1 sentence 1, 1st Federal Data Protection Act (BDSG).

 

With an email application we collect all relevant data in our evaluation overview and upload your documents including your email into our cloud or server tool. Your email will then be stored in an encrypted host folder.

 

For paper applications, we scan your application documents and upload them to our cloud or server tool. You will receive your original documents back to by post after the information has been entered or the recruitment process has been completed.

Part B - Information on Candidate Data Protection during the Selection Procedure

1. Who processes the information and data from your application?

Due to the organisational structure of FZS and depending on the position for which you are applying, your application can be processed by various positions. In any case, your personal data will only be processed by members of FZS and, where applicable, by service providers/partners who are contractually bound and legally obliged to comply with the relevant data protection regulations.

 

2. Who will be informed about your application?

Your personal data will be treated strictly confidential and will only be made available to the persons and service providers / partners involved in the application process who provide the services necessary for the selection process.

 

If you are eligible for employment, the use or disclosure of your personal data is limited to employment-related purposes and to the group of people who must become aware of it in the course of recruitment and your onboarding. This also applies to information disclosed to internal or external service providers for necessary pre-employment audits and notifications.

 

3. How can you change your personal data?

You may change, update or delete your personal information, including personal data and attached documents, at any time by sending an e-mail to jobs@fzs.org with your change request. Please let us know in as much detail as possible which data and information should be changed.

 

You can also withdraw your application at any time in the same way.

 

In this case, we will inform all persons and service providers involved in the application process who have received your personal data and request to delete or change your personal data immediately as far as possible within the legal requirements.

 

4. What data is collected/used in the context of your application?

Only those data will be used which come personally from you. This may also include data that you make available online for professional presentation, for example on social networks such as Xing or LinkedIn. We therefore look forward to receiving information and links to your professional networks. There is no search for private information.

 

5. Another vacancy?

If there may be another vacancy within the FZS or a partner organisation, we will ask for your consent before comparing your data with the position requirements. Before passing your personal data, we will contact you and obtain your permission. You can revoke your permission at any time by email or postal letter. A withdrawal of the permission has the consequence that no further consideration of the application for other positions can take place.

Part C - Information on applicant data protection after the selection procedure - Candidate rights

1. When will personal data be deleted?

We only store your personal data for as long as necessary. Our standard deletion period for an application after completion of the application procedure (rejection or recruitment) is strictly in accordance with the applicable statutory deadlines of the GDPR and BDSG.

 

2. The FZS Talent Pool/Pro-Network

We may approach you with a request to store your data in our Talent Pool/Pro-Network. This is the case, for example, if no suitable position is currently vacant, but we liked your profile and would like to contact you if a corresponding position is foreseeable.

If you agree to a storage, your personal data will be kept on our internal HR server. Only authorized persons have access to the Talent Pool/Pro-Network. We will contact you at regular intervals to ask for your consent to another storage period.

 

You can revoke your permission to the storage at any time by email or postal letter (contact data see part A.1). A withdrawal of your consent to the storage of your data in the talent pool means that no further consideration can be given to other positions.

 

3. Your rights as applicant

a) Right to information:

You have the right to request information about your stored personal data at any time. In order to facilitate the compilation of the necessary data, your request for information should be as precise as possible.

 

(b) Right to correction:

If the information concerning you is no longer correct, you may request that incorrect personal data be corrected. If your data is incomplete, you can request a completion.

 

(c) Right to cancellation:

You have the right to request the deletion of your stored personal data. If statutory provisions, e.g. retention obligations or exclusion periods of the German General Equal Treatment Act (AGG), do not allow deletion (immediately), your data will instead be limited (i.e. blocked) in processing, so that they are only accessible for the purpose of observing the mandatory statutory provisions. Your data will be deleted as requested if the deadlines from these legal regulations are omitted or if the deadlines have been met.

  

4) Right to limitation of processing:

You have the right to request a restriction on the processing of your personal data.

 

5) Right of objection:

You have the right to object to the processing of your personal data at any time for reasons arising from your particular situation.

 

4. How is your personal data transmitted?

Our provider's Internet servers meet the latest security standards. We try to protect your personal data against loss, misuse, unauthorized access, disclosure, modification and deletion. Our security measures are continuously improved in line with technological developments.
